Case Study
VP Hotel Management: moving 7 hotels from Excel sheets to one central platform
The Problem
A hotel group in Tirana with 7 hotels managed reservations in Excel sheets. Each reception worked on its own files, so there was no single view across the hotels, and the work depended on one computer and manual updates.
What I Did
- Built a web-based reservation management system that centralizes all 7 hotels in one project.
- Reservation management for reception staff, with room availability in one place.
- One central system for the whole group, with each hotel's data kept separate and role-based permissions for receptionists, managers, admin IT and owners.
- Accessible from any computer with a browser, with no installation and no location restrictions.
- Automated repetitive reception tasks that used to be done by hand in Excel: availability checks, booking confirmations and daily reports.
- Migrated the existing Excel reservations into the system.
Stack
Result
- All hotels of VP Group (7+) are live on the system, with 100+ rooms managed
- 20+ receptionists use it daily
- Rolled out one hotel at a time
- Still in use. I maintain it and add new features.
What I would tell a new client
Replacing Excel is mostly about understanding how reception staff really work, then making the new system faster than the sheet they know. I start with their daily workflow, not with the feature list.
